Drafting your guest list is beginning of the planning process for your wedding or special occasion. Once that is done and it is time to design your invitations and design theme you will carry through the entire event!

There are endless options to select from whether you are interested in something traditional, classic, timeless, or just plain funky and fun. These decisions are hard to make, however there is one thing that you should do and that is make it personal. Play around with the wording and seek the assistance of a professional stationer on how to get your message across in your invitations.

Years ago you may have required a team to assemble and address invitations, the great news is……..(drum roll please)……companies offer this service now! If you are a bride/host that does not want to keep track of your acceptance, regrets, or of course those that just don’t even respond because they are too busy, or will place it on their to do list. This is a service that is also offered from the stationery company or your planner.

While shopping around for your invitations keep in mind that they set the tone for your event. Make sure that it reflects the theme and is centered on your vision; use the colors, monogram, and textures to create conversation pieces to use strategically throughout your event. The sky is the limit from the start to the end of the night with the favors as guests depart.

I'll Let you Know- It's okay to say so

I have been thinking about how I would address this topic and have a nice approach to it but the reality is….I am just going to get to the point and tell it like it is.

Many people will have wonderful intentions when they hear that you are getting married. However, because they volunteer does not mean that you need to have them complete the task in which they volunteer for.

I had a bride very recently email me a proof of her invitation and there were so many things wrong with it. I took the time to explain to the bride the right and wrong things and made the necessary corrections. While the bride was not knowledgeable about the etiquette of stationery I was able to teach her and for that she was grateful. Now it was time to touch base with her “friend” on the invitation she created.

This placed the bride in an uncomfortable position and she did not want to address it, eventually she did there was no avoiding it.

Point is many people will offer to assist you and you should not accept it’s okay if you tell them:

Thank you so much for offering to take care of x, y, & Z. I am starting the planning process and would love to outline everything before I begin making any decisions, I will get back to you on this at a later date.

Don’t feel pressured to accept everyone’s offer for help if you don’t know what they will put together for you. If you are a budget bride and would love the financial help it is okay to tell the person that you saw a style invitation that you fell in love with. Give them the verbiage and have them print it for you. If they are doing this task out of love it should not be what they put together.

This goes for any area of your wedding.

Candle Centerpieces

When designing your centerpieces there are endless options!

Flowers can become very pricey if you get very elaborate. However for those brides that does not like flowers may be allergic to them, or for any other reason….here are a few candle light options. Consider the centerpieces below.

If you are trying to save on expense of flowers, you can DIY. However make sure to do a complete mock centerpiece on a table with linen to have an overview idea of how the table will look.

Simple yet creative designs can be achieved by using candles and decorating the surface around the base. Using candles a variety of heights add texture to the tables and creative a great romantic ambiance.

Planners/Coordinators.....Tips on Hiring One

If you think a planner is more of a luxury for those that have a big wedding budget….good news….that is not the case!

There are many wedding planners and coordinators in the industry today; however it is your objective to identify a planner/coordinator that is a good fit for you and your future spouse. While there are many variables and qualities that you are looking for in your planner it is okay to take the time to interview a few and decide who is the best fit for your needs. Remember this individual will need to understand your vision clearly and will be your eyes and ears for your most memorable day.

So how much should a wedding planner/coordinator cost?

This is a very popular question! The cost of a coordinator will vary based on the services that you require and the services that they offer. If you would like assistance from start to finish this would be more expensive than having a coordinator for the month of your wedding. It is your choice if you prefer to have a coordinator find your venues and vendor and you give the final approval or just have a coordinator step in a few weeks before the wedding and finalize all the logistics and details.

How does the billing process work?

Some charge a percentage of your budget, hourly, or a flat fee. You should choose which method you prefer and compare the services offered as they may differ. Don’t hesitate to ask about a package deal for total services you are interested it. Typically the total charges can be paid in installments over a period of time.

What are the benefits of hiring a planner?

Hiring a professional can help you save time and money. Because planners are in the wedding industry there are many relationships that are established from working together with other vendors or through networking. Your planner can also be your negotiator and/or review contracts for you.

The bottom line is……you should determine what level of service that you would like to receive from your wedding planner/coordinator. Take the time to meet with them and layout your expectations as well as find out their expectations.

Edible Favors!

When bride’s think about their favors it should reflect both the bride & groom or the theme to your wedding.

I am working with a Fall couple that has the theme of a city, so we are putting together items and snacks that the city is famous for. Times have changed from the small bag or favor with almonds or chocolates.

Be creative…..This Spring I had the pleasure of working with one of my fantastic brides on a wine themed wedding. For the favors the couple made homemade wine jelly for each guest and attached their monogram to each jar.
Maryland lovers…..Last summer one of my couples love Maryland crabs, their favor were crab shaped cookies with a crab shaped cookie cutter and the bride’s mother favor cookie recipe….how neat is that!
Thinking favor…..think food or a snack you will keep your guests talking!

Orchid DIY Centerpiece

DIY Wedding Challenge: Curly willow and orchid centerpieces

I love getting new ideas for just about anything! There are so many people that are trying to cut expenses in every area. While I love real flowers and the excitment and fragrance that they bring to a room, here is a cute idea that may be inexpensive and a great idea for another bride or even for any event!

Materials:
• Curly willow tip branches. (These I purchased from Whole Foods)
• Silk flowers... 9 per centerpiece. (Mine were soft touch orchids from Stats)
• Moss
• River rocks... 5 per centerpiece.
• Plaster of Paris
• Small pots to contain your centerpiece. (From Stats, these are actually paper mache.)
• Paint in your wedding colors
• Artistic Wire Ltd - Light brown, 28 gauge.
• Styrofoam discs that fit inside of your pot
• Hot glue sticks
• Tacky glue

Tools:
• Wire cutters
• Hot glue gun
• Small paint brush for detail work

Assembly:
1. Using your hot glue gun, secure the foam disc to the bottom of the pot and let sit for at least 30min to make sure it is attached.

2. Mix up your plaster of Paris following the directions on the container, and fill in the moat like area between the pot and the styrofoam disc. The plaster helps weigh the pot down to prevent the centerpiece from tipping over. Of note, if your styrofoam is not secure to the bottom of the pot, it may float up once your pour the plaster mix. At this point I suggest placing something heavy on the styrofoam to weigh it down until the plaster mix has dried completely.

3. Once your concoction has dried, you can paint your pot! Our main colors were chocolate and orange with accents of red. Hence, we painted the sides of the pot with the accent colors, and also painted the bottom with our names and wedding date so that guests who lived in town could have a souvenir to take home if they so chose. When you are done painting, let the pot dry.

4. Now it is time to insert your curly willow tips into the styrofoam. I find working with curly willow that's been allowed to dry out a day or two is easier to work with as it holds it's shape better and doesn't bend under the weight of the flowers. One of the keys is to remember these are relatively tall centerpieces, so you don't want the branches to be too thick to block guests view of each other. Once the branches are where you want them, secure with hot glue and let the glue dry for at least 30 min.

5. Meanwhile, chose some of your river rocks, and if you so desire, paint them with meaningful words of what being married is to you. For us we chose words like "Love", "Trust", "Honor", "Friendship" and "Cherish".

6. Cover your styrofoam and dried plaster mix with moss. Use your hot glue gun to secure the moss in place. Then place flowers and river rocks as desired around the base of the curly willow branches. Once they are in the spot you like, secure them with your hot glue gun.

7. Pull your flowers off their wire stems. Using your brown artistic wire, secure the blooms to the branches where you desire. The pattern I used was two blooms at the base, three midway, and four higher up the branches for a total of 9. Once they are wired to the branch, glue the wire in place using a dot of hot glue or tacky glue. (Remember the glue will dry clear!)

And behold! You have a unique centerpiece made for approximately $32 each.

New Look for your Guest Book

We’ve all seen the traditional guest book where each guest signs his or her name on a line, recorded for posterity, and end up being rarely to be viewed. For the couple that would like to try something a little different. It’s okay to be creative and do something unique that reflect you both!

Wishing Tree
A wishing tree is a fun décor piece that can be customized to match your wedding colors. Guests simply write a special message or wish for you on small cards with ribbon affixed to them. The wishes are then hung from the tree and then removed after the wedding and placed into a scrapbook!

Photo Booth Guest Book
For a fun and interactive activity, have guests take pictures in the photo booth and place supplies on the tables for guests to then adhere to a scrapbook with a special message! These pictures get more fun as the night goes on!

Art for Your Home
Instead of having guests sign a matted picture of the two of you, why not change things up a bit and create a custom art piece for your home? Use a historic picture of the venue where the wedding reception was held and guests signed their names around it. A map of the city where the two of you met or were married, a painting of a place that has special significance for you, a family crest, etc – the possibilities are endless for what you could have matted and signed in lieu of a traditional guest book.

Engagement Album Guest Book
You are likely to have an engagement shoot captured by your wedding photographer prior to the big day. Some photographers offer an engagement album that can also double as your guest book with lots of space left around the pictures for guests to sign their name or leave you a little message. Best of all, the book itself becomes a wonderful coffee table décor piece in your new home together where you can smile at the pictures of the two of you while also reading your guests’ special words to you.

DIY Menu Cards - Template

Below is a DIY tip from a bride on Project Wedding - Dill Pickle Picnic

Tools Needed:

•Paper Cutter (or have it precut at Kinko’s,etc)

•Color printer that will allow for custom paper sizes

•Feel Script Font or Monterey BT Font

•Menu Template created in MS Word (saved for Word 95-2005) Supplies Needed:

•8.5 x 11 inches Ivory or White Cardstock – 1 sheet makes 3 menus (I used cover stock from PaperSource in Luxe White but Cold Press watercolor paper would work well also)

Instructions:

•If you don’t already have it loaded on your computer, download and install the font of your choice. This project uses Copperplate Gothic (which came with MS Word) and Monterey-BT. •Download the Menu Template from above and update to your menu items of choice. Verify that the paper size is set to a custom size with a width of 3.66 inches and a height of 8.5 inches.

•Cut your standard sized paper into 3 menu sized pieces*.

Each menu is setup to be 3.66 inches wide, so a 1/3 of a standard sheet of paper’s width if in landscape mode. Using your paper cutter cut each sheet into 3 equal pieces. To make this process less tedious I constructed a “guard” of sorts using a post-it note placed in the correct cutting position. Then I could just line my paper up against it’s edge and make a consistent sized cut each time. In retrospect it would have been even easier if I’d used a piece of heavier cardstock taped to my cutting deck so I have more of a solid edge to line up against. With my cutter and this easier method of alignment, I could easily cut through 2 pieces of coverstock at a time. Menu Template

Summer weddings are fun, but can be challenging to plan when you are looking for the “perfect venue” and have a large guest list!

The visions of a summer wedding are very popular and venues book quickly, in some cases years in advance. It is important to know your maximum number of guests; this will give you a guideline in addition to the amenities that you both are looking for on your wedding day.

If you are available to see a venue during the setup process of another wedding this is also helpful and allow you to envision your day and floor plan in the space. Contact the representative for the venue you have in mind and ask to see the space before an upcoming wedding.

There are many things to consider when searching for your summer venue. If you are having an outdoor wedding don’t just think about a backup plan for rain….also remember the sun. While outdoor weddings can be very nice, think about the location and setup of the venue, the position that the sun will set and other details. Explore the options of renting a tent, this help with shade and shelter case of rain.

Keep good notes on the venues that you visit and include the pros and cons. Always inquire about the food if you have an option between the catering companies or if you must go with their company. This can be a deal breaker if the food is not good.

Just remember to plan carefully and think about the overall logistics before signing your contract.

When it comes down to selecting a wedding planner there are many factors that you should base your decision on other than the cost.

When selecting a wedding planner you determine the relationship you would like to have, as the client you have the final decision on how you spend your money. Planners can make suggestions and accompany you to the vendor meetings, advise you on your budget in each area. Keep in mind if you go over the budget in a category, you good planner will adjust the budget to break even overall.

The fees of a planner depend on the services that you would like to retain. Before you hire a planner/coordinator be sure to know what exactly their services cover. Some planners offer a flat rate; others charge by the hours worked, or a percentage of your wedding budget. Most will create a proposal for you based on the services that you desire.

If you chose to hire a planner for full service planning (from beginning to end) this may end up saving you money in the long run.

For Example, there may be a venue that you are interested in and your planner can negotiate a deal on the same venue or find you a venue similar or better while saving you thousands in that one area just to start with the other potential savings to come.

DIY Signs to Guide your Guests

If you have venue that it may be a challenge to get to in the car and/or on feet, think about extra signage to help your guests find their way.

I have two brides so far this year that their receptions are on a college campus. As many of you know it can be challenging to locate the correct building on a large campus such as John Hopkins University. However we are planning to DIY a few things to keep the expenses down and help lead the guests in the right direction.

I found a post by a previous bride and her DIY tutorial. All the details are listed below and also a link to the original blog post. Enjoy and share this blog with someone else who you may think want to save.

If your ceremony or reception location is challenging to get to although the turn-by-turn directions on the back of the map you may have included in the invitations were received. There may be a few guests that will forget this information, GPS is great but may not work in all areas that you are traveling in. Here is a quick DIY project that will help you with some simple signs to help your guests find their way.

Supplies Needed:

1. 12″ unfinished wooden plaque
2. Indoor/Outdoor satin finish spray paint in Ivory
3. Martha Stewart Crafts rub-on alphabet decals
4. Cricut Cuttables adhesive vinyl in black (not pictured)

How they are made:

1. After laying down a few sheets of newspaper outdoors to protect the grass, apply three coats of spray paint to each wooden plaque, allowing a few minutes of drying time between coats. (TIP: Disposable gloves are a great idea!
2. Allow the paint to fully dry for about an hour. Using a light colored pencil and a straight edge; sketch a faint guide line where your letters will be placed.
3. Position a decal on the plaque with the ink side down. Apply by rubbing all over the surface of the decal with the included craft stick, using a good amount of pressure. To ensure a clean transfer, make sure to rub over all of the little detailed areas, and especially the edges of each letter. Slowly peel back the acetate backing. If you notice that parts of the decal have not transferred, lay the acetate back down and keep rubbing. Repeat for all letters.

4. Using adhesive-backed black vinyl, free-hand an arrow shape in Sharpie on the paper backing. Then cut it out with a craft knife and adhered it to the plaque. The nice thing is that the vinyl is repositionable, meaning that the arrow can later be changed to point in a different direction and the sign can be used again.

A small screw with a loop on the back of the sign with ribbon will allow you to tie the signs to the a sign that is already in place such as a stop sign. Add a stake to the back and this sign can be placed in the ground along the route.

RSVP & Open Receptions....Save yourself the drama!!!

Here it is another Sunday that I relax and hang around the house watching wedding shows and movies after doing the normal Sunday routine things. I decided to watch Four Wedding on TLC since I am almost never available to watch it on Friday nights.

For those of you whom have never seen the show it is about four brides competing for a honeymoon and have to critique the other brides on their dress, venue, and food. At the end the ratings are revealed along with the overall experience.

One of the brides had her DJ make an announcement “If you did not RSVP for the Reception you have to wait outside”.

Yes…I’ll wait until you go back and read that again……you read right! This is a No No…

Unless you can afford unlimited food and seating please manage your guest list. As a planner I strongly suggest during the consultation that the couple be realistic in the guest count and also leave room in the budget and guest estimate for additional guests. This particular wedding was for 200 guests within a $30,000 budget.

To avoid or narrow down any confusion for the guests and attendants have your hostesses in place to assist with the escort cards and/or seating cart. If a guest’s name is not on the list the hostesses will know how to handle this particular guest. Have a default table available for possibility of overflow. This table can be used to house your vendors and a few extra guests, your vendors will not sit and eat for long, most just enough their meal and go right back to working.

If you run into an overflow problem please don’t have anyone make an announcement that your overflow guests will have to go outside. This will leave a bad impression on the guests overall, the guests outside and also the ones inside. Don’t take over as a bride, after all this should be a day for you to enjoy, make sure you have a planner or someone as your point person to troubleshoot your day. However, this individual should know all your details to the entire wedding….you must give up all information to them to be successful. Plan accordingly to prevent having to extinguish a fire that could be prevented in the planning stage and last minute logistics of the reception.

Here are a few tips before you go out to the bakery. As you see above you can use your favorite blouse to create your cake!

A. Create a cake inspiration document electronically or in print from magazines, pictures online and other resources.

B. Include great pictures from other bakeries even if they are many states away, a bakery can duplicate most cakes if there is a cake that you must have.

C. Know the flavors that your bakery offers, review their flavors online and decide what your top three flavors will be that you would like to taste first then move on from there.

D. When you taste cake know what beverage will work best for you to cleanse your palette and get an accurate taste of the cakes.

E. How many guests are you planning on feeding cake to? Not everyone eats wedding cake and also keep in mind that you don’t want to run out of cake.

F. If you are planning on having assorted desserts you can have a little less cake and have the cake sliced thinner.

Wedding Ceremony Altar Style

I am currently working with a bride that has a few photography concerns for her ceremony. Her church is beautiful; however the pictures that we have seen during the ceremony are not the best backgrounds and will not complement her colors well. So as an alternative to dress up the ceremony and have a great backdrop for her pictures we decided to move forward with a Chuppah (Jewish tradition) which may also be known as a canopy. The side that will be to the back of the pastor will be hanging to have a clean crisp look in the pictures.

With so many choices available in colors, styles, fabrics, etc. there are countless ways you can create or design your altar.

Bridal Shower Games

Are to thinking about an upcoming bridal shower and the games that you would like to play? Here are a few ideas to have the guests actively involved and keep the blushing bride to be excited.

Advise for the Bride
Bridal Shower GameCreate a beautiful bouquet of advice for the bride. The hostess will need construction paper, pipe cleaners, and glue. Cut out heart and flower shapes and glue them to the pipe cleaners. They should resemble a flower attached to it's stem. They can be arranged in bouquets on the table or handed out to guests as they arrive. Tell the guests to write advice for the bride on the paper cut outs and place them in a vase. When all flowers and hearts have been placed in the vase, have the bride read them aloud. This will make a great keepsake for the bride.

What the Bride Says
As the bride opens each gift, have someone write down what she says (without her knowing). After all the gifts are opened, have the person read her comments back. These are the bride's words to describe her wedding night. (Make sure your guests can handle this one!)

Spice of Life
Get as many spices together as you want and place them in unmarked, but numbered jars. Pass each one around the room and have each guest write down what she thinks it is. At the end of the game, award the one with the most correct answers the collection of spices. (Be sure to include the corresponding list!)

Mom's Advice
Have each guest tell the best and worst advice they received from their mother or grandmother. Award a prize to the person who gives the best advice and a booby prize to the worst advice received!

Clothespin Game
As each guest arrives, clip a clothespin to her clothing. If someone hears another person saying the word "bride", she gets to take her clothespin. The player with the most "pins" at the end of the shower gets a prize.

What is the Bride Wearing?
Let the bride know ahead of time. After everyone has visited for a while, the bride quietly leaves the room and listens from a spot where the guests cannot see her. Then ask the guests about what she is wearing. Is her hair up or down? Color of shoes? Outfit color? Ask as many questions as you can think of...then start asking about the bride's favorite color, TV show, food. Go around the room taking turns answering. Everyone who has not missed an answer at the end wins a prize.

Who am I?
This one is an easy way to get everyone talking to one another. Ahead of time, write down the names of famous people on index cards - singers, celebrity, political figures, authors. As each guest arrives, pin the identity to their back without them knowing the name. Guests find out who they are by asking others YES or NO questions. Depending on the group of people, you may or may not also decide to put a limit on the number of questions that can be asked to one person consecutively. Depending on how long it takes, you can opt for first prize only or extend out to second and third. If you want everyone to get a chance to figure it out, you may also give out a prize to the last person.

Happy Wishes
Provide envelopes and index cards. Have the guests write an event, holiday, or moment in the couple's life together. On the index card, write a happy thought or useful piece of advice. On the outside of the envelope, write the occasion that the bride should open the note. Examples might be wedding night, first anniversary, first child, first fight, first house.

Word Scramble
Provide a list of scrambled words that are common with a wedding ceremony and reception. Use words such as bride, groom, gifts, cake, flowers, ring. (dirbe, romog,tigfs,kace,woferls,girn) The first person finished gets a prize. (If no one finished within 10 to 15 minutes, award the prize to the person with the most right answers.)

You can also use the same or similar games for a baby shower.

You Can't Do It All!

The endless to-do-list that you review and add items to daily…… needs to be revised and become a strategic plan on a calendar. I know that sometimes you may think if you don’t do it…it won’t be done right!

Don’t increase your stress levels. Evaluate if you have the time, dedication, and the discipline to stick to your plans and execute your vision. If you must interview your friends and family members to determine who is a good fit for your “team” as you would with a vendor….then do so. When you determine who is going to help you just make sure that they understand your vision and that you can work well together for the ultimate results.

For those whom are working on a tight budget and relying on extra hands to help out with the decorations, be sure to set up one table as an example of what the table should look like and your team can follow behind you to set the rest. The key to utilizing your volunteers that would like to truly help you is communication. Be sure to share your vision and intentions with everyone that is working with you.

Don't plan your own party....get help.

It's not too early for Seating Charts!

Good News!! It’s not too early to start your floor plan and seating chart!!

When you send out your invitations you can create the floor plan at the same time. List the table number and the guests that you would like to sit at that particular table. As the RSVP’s come back in you can highlight the guest as attending. Once the RSVP deadline has come to a close you are able to shift around your guests if necessary to eliminate and add additional tables.

Many couples get overwhelm with the table seating, address this at an early stage and it will be less for you to worry about in the end. To also make this task easier for you, print the escort cards a week before the wedding and organize them in alphabetical order. If you are using and seating chart in alphabetical order by last name, this can also be printed and framed ahead of time.

Be strategic when you plan out your tasks….especially as you get closer to your wedding day.

Vendor Relationships - Who is right for the Team

Have you thought about the relationship you should have with your vendors?

There are different levels of relationships that you will have across that board. When you think about it…who will you be spending most of your time with?

Each vendor is important, however think about the time and expectations that you have for your vendors and realize that it is important to mesh well with them all especially your planner/coordinator, photographer and videographer. The florist receives your vision before hand and executes to your expectations. The stationery design company brings your vision to light on paper. When you think about the roles each play and logistics there are the many things to think about.

Consider the vendors whom are there for the entire day…don’t hire them at last minute, this should be a top priority vendor and listen to their response to your style and envision them on your day. After meeting with at least two to select from in each category review mental notes with you fiancé and determine if they will make the team for your wedding or special event.

Meal Options for the Children

Don’t be fooled…local restaurants & McDonald’s has a kid’s meal option and so does the reception venue.

When you have met with your venue for a tasting be sure to ask about kids meals for the children that are attending or participating in your wedding or event. There are a few options to save on their meals:

A. Kid’s meals are offered as meals that children usually enjoy…. chicken fingers, nuggets, etc.
B. A buffet meal for 50% off for children
C. If the child will be sitting in the lap of their parent, save the cost for the kids meal and they can eat with their parent.

Think about it….do you want to pay $15.00 for a kid’s meal while the 2 year old sits in their parent lap and eat? Have a highchair on standby and let them enjoy.

Be sure to discuss the options available to you, this will allow you to make the best decision for your reception when it comes down to meals for the children and managing your budget.

Here is a fun idea for giving a favor gift that your guests can use. As I was playing around on the internet and wedding sites I came across this neat idea.

Let your guests enjoy taking their personal smores kit home and have fun preparing a sweet treat. You may also offer them an opportunity to prepare them at the venue by creating a smores bar as an additional wow factor.

Here are the details from a past bride:Materials:

1. Hershey's Chocolate Bars

STEP 2: With the wire cutters, cut off the head of the hanger and then bend the hanger in fourths so it fits the length of the box. Secure it with ribbon.

Planning a wedding as you may already know from talking and getting advice from friends and loved ones it can be pretty pricy. Here a few basic tips that can help you save and be organized during the planning process.

1. Start planning early. Allow yourself time to map out your plans and details. Take the time to research venues, customer service of companies, client reviews, and pricing of potential vendors of interest.

2. Set up a wedding account. Decide on the amount in total that you would like to spend. After researching allocate an estimate for each area and stick to your budget. Don’t go into a marriage in debt for the wedding, it’s the love that counts not the glamour.

3. Enlist assistance early. Planning your wedding day can be overwhelming with details, and may include comments and feedback that you may want or not want from friends and family. Set your expectations and you can hand out areas of responsibilities early. Again tasks should be to your expectations as a couple.

4. Use seasonal products. Using items in season such as flowers, vegetables (great for a green or organic theme), and other items will be less expensive that selecting items that are not in season.

5. Have your ceremony and reception in one location. Automatically this eliminates the cost of transportation or allows you to save and just have a limo transport the couple and wedding attendants once.

6. Have a smaller wedding. Don’t feel obligated to invite everyone that you know. It may not be necessary to invite your close friend’s cousin that you went to a party with once. Keep this in mind, while you plan your wedding on the budget you plan on spending.

Enjoy your planning process it should be a fun time for you both, take your time and think about the details. Don’t make a mistake and overlook the logistics of the wedding day. If financially able hire a planner at least for the day of your wedding. Meet with a few planners to learn about their style and get an idea to see if you three will be a good fit for each other. Don’t assume that planners are expensive; the pricing typically is based on your needs and the packages available.

Tip: If you are planning an April- June you are in prime wedding season and up against proms. Dresses, tuxedos and limos should be reserved within a timely manner.

With the many expenses that are associated with planning a wedding, the most expensive area that you can save is in the reception. Have you considered having an early wedding ceremony followed by a buffet brunch?

There are a few advantages to having your reception earlier in the day:

- The food can be a lighter portion in comparison to a dinner meal.
- Guests typically don’t drink as much during the afternoon as they would in the late evening.
- If you choose to have more than wine and champagne a limited open bar is acceptable
- A brunch reception is shorter timeframe and allows guests to enjoy the rest of their evening after celebrating with you. Some couples prefer this option and enjoy an intimate dinner as newlyweds before they call it a day.
- The cost of a venue is lower to rent during that day than the evening.
- There should not be a need for additional lighting for an afternoon reception; the sun should be still shining bright.
- Your décor of flowers can also be limited and/or fruits may also be incorporated to as centerpieces.

While shopping in the wedding aisle of a store today I overheard a few ladies calculating wedding items needed and determining if the items were in their budget. Needless to say there are many couples that are planning their weddings on budget.

There are several adjustments that can be made to your current lifestyles and spending habits that will prove to help with savings. Open a specific account that will be dedicated to your wedding and practice good habits that can help you save.

a) Bring your lunch to work, don’t spend $5-$8 a day for lunch…pack your leftovers or make a sandwich. This is healthier and saves you an estimate of $25-$40 per week.

b) If your addicted to gourmet coffee, lattés, cappuccino, and other drinks and breakfast this is another area that you can save. Some of these drinks can run roughly $5 for just the drink without the sandwich. If you stop during your route to work a few days to get a morning drink this can save you an estimated $25+ per week.

c) Limit your partying and happy hours this can become expensive and will add up quickly. Still maintain a social life, don’t get consumed and focus strictly on planning it can become overwhelming and stressful if you let it. If you attend an average of 2 social events this can save you an estimated $30+ for the week.

These are just a few tips to get your saving wheels turning; the adjustments will be worth it in the end. You will be amazed on how much you can save with minor changes.

If you are ready for a major challenge, save your receipts from every purchase for one week and add all purchases into two categories: Need or Want.

RSVP Dilemmas

Handling RSVP cards can be very time consuming and challenging at times. Keep in mind that when sending out RSVP you should have a projected number of guests that will respond to the RSVP card.

Track your cards by having the responses in alphabetical order; an index card box comes in handy with keeping the cards together in one location.

To avoid guests from reserving five seats when you expected them to reserve two you may also prepare RSVP cards based on the specific number of seats you are able to reserve for your guest. To do this you will need to know the person that you are sending the invitation to and the estimated number of seats you will need.

Now that you have set a date it’s time to let your friends and family know what dates to save for your wedding. A very nice way to let your guests know when you are getting married is to send them a Save the Date card, magnet, or in another creative form.

This will be especially helpful if you have guests traveling from out of town. The courtesy of giving your guest’s time to secure great deals on flights and hotels will be appreciated. Depending on the amount of guests you have traveling from a good distance you may send out the “Save the Date” cards within 5 months or more.

Unique Escort Cards

This is a really cute, however a very time consuming project for a decorated escort card board for the reception. If you are a very organized and crafty bride I say go for it!

Below are excerpts from a post from a bride Mrs. Eggplant with minor edits from the original post.

The one project I unfortunately didn’t get many photos of on W-Day, was our ribbon board with our decorated escort cards. I say unfortunately, because this baby took hours upon hours of grueling labor. We finished the project the night before our wedding rehearsal!

To make the board and cards, I needed the following materials:
Martha Stewart border punch and EK Success flower punch
Many spools of pink, green, white, and brown ribbon
Six foam boards (to make three ribbon boards)
Sewing pins
Place cards from Paper Source
Metal brads

First, the ribbon boards. My cousin came up with the idea to take a piece of foam board, layer the colored ribbon across it, and use pins on the backside to keep the strands in place. It worked out well. I also think a staple gun would’ve done the trick.

Once we covered the entire board with ribbon, we took a second piece of foam board and pinned it to the back to cover up the unsightly ribbon ends. When pinning the board in place, we shoved the pins in place at varying angles. This kept the second board from slipping off.

If you’re interested in creating a ribbon board for your wedding, I recently found this link with simple instructions on making one.

Next, the escort cards; these were very easy, but very time consuming. To make the cards, I typed out our guests’ names in a template I created in Adobe InDesign, and hand fed the cards one-by-one through my printer. Unfortunately, the printer kept eating our cards when I tried to let the unit feed automatically, so I had no other option than to hand feed.

After printing, I used my Martha Stewart border punch on the bottom edges of the card stock. Then, I applied an adhesive & a small strip of ribbon and a colored flower with a brad. The flower colors were based on the guest’s meal choice.

Green = vegetarian, Dark Pink = beef, Light Pink = chicken.

Quality over Quantity when selecting your Coordinator/Planner

Don't let the price be the determining factor for your special day, meet with your prospective coordinator to learn about their style and level of service before making your final decision......quality before quantity.

In a recent conversation with industry partners the topic of pricing inquires developed and this was a very interesting topic I must say. I receive many emails requesting prices, while we don’t mind sharing information upon request for pricing we like to get to know the couple and also share our work ethic and style with each couple first.

Shopping based on price is not always beneficial or a good strategy. We clearly understand that when planning a wedding or event on a budget there are specific amounts allotted. You should be careful and know exactly what services you will be receiving for the price quoted. How accessible will your coordinator/planner be? While pricing think about a few other decisions that you have made based on quality over quantity......

Picking up a salad from a fast food restaurant or spending a few extra dollars for the quality and service from a Panera Bread.

Inexpensive deep conditioner that will last for one week in comparison to a quality deep conditioner that will keep your hair healthy for two to four weeks.

Purchasing shoes that are not comfortable but will serve the purpose or investing in good shoes that will last, be comfortable, and will not have any repercussions.

These are just a few things to think about when selecting a coordinator/planner for your special occasion. There are a variety of styles, professionalism, and the ability to envision and carry through your expectations when working with service providers.

Research and meet with at least one to two coordinators or other service providers before you decide to accept an offer. Take the time to review your notes from meeting with each potential candidate and base your final decision on the quality of service and not the cost. Our consultations are complimentary and we give our prospective clients several days to review and accept/decline our offer.

Please keep in mind that most month of coordination packages require at least 80 hours of service, this includes two coordinators on the day of your event (16 hours) and the remaining 64 hours if not more for meetings, emails, telephone conversations, planning logistics and other items, this is an average of 16 hours for 4 weeks. Once you receive your quote for pricing divide the estimated cost by the minimum of 80 hours and this will be the estimated hourly rate that you will pay. Hourly rates without packages are typically higher; we encourage you to investigate before you invest.

Wedding Attendants , The Roles & Duties

Along with selecting your wedding party, be sure to include your ushers and hostesses in the party also. While most brides think about the bridesmaids and groomsmen, the selection of ushers and hostesses should be included and not looked over.

The duties of attendants should be viewed and treated with high importance and responsibility. When selecting attendants think about someone with a friendly charming, energetic persona to assist with seating for the ceremony. This should be well thought out and your selection should be an adult or a responsible teenager. In the event that you have a coordinator this is not a task for your coordinator. The role of your wedding coordinator/planner is contracted to ensure the day runs smoothly and on time.

Ushers & Hostesses should be prepared to provide the following duties and more:
* Escort guests to their seat- This will ensure that the front rows of the church will be filled and you do not have too many guests in the middle or back pews.
* Offer Programs- If you are planning to hand out programs, your guests will be offered a program. This will ensure guests do not walk by the basket and attempt to come back during the service for a program to “keep track” of everything going on.
* Attend to Guest Book- Encourage guests to sign the guest book upon their arrival.
* Accept Gifts and Cards- For the guests that will not be attending the reception this is an opportunity to have attendants accept gifts and cards on behalf of the couple. Tip: Have a card holder at both the church and reception venue.
* Aisle Runner- If the bride plans to have an aisle runner the ushers will be persons to pull the aisle runner for the bride.

Okay the title of the blog says it all, and if you scratched your head then your right also. Planning any event can be an overwhelming task if you don’t take the time to think things through. Stop keep telling yourself that it will all come together and get organized.

While you have a vision in your mind it is important to plan things out in stages. Whether writing your plan on a calendar, using a spreadsheet or using Microsoft Outlook. Be specific with your complete planning timeline and incorporate time to rest and relax. You should not eat, sleep, and breathe your special occasion….at that point it becomes overwhelming and not exciting to plan.

If you have the time, focus on one to two items per week or bi-weekly. Planning any occasion should not be a burden, think about the details before hand and if need help enlist an event planner. Don’t think you cannot afford a planner, many charge hourly, by a percentage or a flat rate. It just may be worth the headache to hire a professional to execute.

Depending on how formal your event is and the amount of guests if you don’t have the true help of others from the beginning then think about a planner.

Tip: Enlist a planner at the right time and don’t worry about the logistics, let your planners execute and you relax. Professional event planners are able to create your vision and assemble additional wow factors to a fantastic event

Bar Options, You Choose

Weddings are a time to celebrate with close family and friends; during the reception it is common to have a few bubbly glasses during the toast and throughout the night. As you may already know having a bar can be costly.

There are a few ways you can cut cost on paying for a bar and by hiring a bartending service and providing your own alcohol. There are a few basics that you should have at the bar and mixers to offer your guests.

~Champagne
~Red Wine
~White Wine
~Beer
~Gin
~Light Rum
~Vodka
~Tequila

If you choose to offer an open bar this is a very generous approach, although expensive it is the courteous option to offer your guests. Be sure to have your bartender keep an eye out for the frequent visitors to the bar. This is something that your coordinator can keep be observant of, if you know who the key folks are ahead of time let your coordinator know.

Offering a limited bar can be cost effective and allows you to limit the amount of alcohol that your guests consume. During the cocktail, toast and an hour after dinner you can offer drinks at the bar. Having the wait staff pass drinks also limits the options and number of drinks being served.

If the majority of your guests don’t drink….no problem there are many substitutes for alchol. Serve sparkling cider, virgin drink such as sangrias, soft drinks, and juices. Here is a recipe for virgin sangrias:

Virgin Sangria
1 (6-ounce) can frozen orange juice concentrate, thawed and undiluted
1 (6-ounce) can frozen apple juice concentrate, thawed and undiluted
1 (33.8-ounce) bottle club soda, chilled
Crushed ice
Orange slices (optional)
Maraschino cherries (optional)

1. Combine orange juice and apple juice concentrates; stir well. Stir in chilled club soda. Serve over crushed ice.

2. Garnish each serving with an orange slice and a cherry, if desired.
Makes about 5 1/2 cups.

Many couples are embracing eco-friendly options for their wedding. Here are a few tips and things to think about when planning a ‘Green’ wedding.

Use the internet to announce your save the date, this saves paper and gets to your guests quickly. If you would like to mail the save the dates, you have the option of using recycled paper. You can also create a wedding website or blog to keep your guests informed.

Save on gas and have your ceremony and reception in one location. By doing so you save on time, energy, gas, money, and if you have out of town guest this allows them to relax in one location without the worries of finding their way around town. Arrange transportation from the hotel to the venue, this also saves on fuel and will ensure that your guests are transported safely.

When selecting your caterer there are caterers that specialize in organic and local products. Local produced products take less fuel to be transported for sale. Not to mention you will be a customer for a local town and farmer, this helps farmers continue to produce organic products. Pass on the use of disposable plates, using china and flatware will not only be an elegant touch, but it will prevent from adding to landfills.

As a parting gift (favor) print a personal message on a reusable shopping tote to thank your guests for attending your wedding. Roll the bags and tie a ribbon to compliment your wedding colors. Another option is to plant individual flowers or herbs this can be used not only as favors, but also as centerpieces. Your guests can take the plants home and plant in the backyard or can be used as a house plant.

When selecting a caterer one of the most important factors is that they should have a license and is insured.

Does your caterer offer a tasting of the items you are considering on having on your menu? Don’t wait until the big day to know what the food is going to taste like, also during the tasting remember that the food can be customized to meet your needs ask questions and talk to the caterer.

It is very important to be honest and upfront about your budget from the beginning. You can ask the caterer for a breakdown of each item, just in case you may need to remove or decrease an item from the proposal. Don’t be afraid to ask for opinions on ways to cut back on the pricing and services.

Ask for a contract overview from your caterer, this way you will have an idea of the details that will be included in your contract with the catering company. Be aware of all potential fees other than the prices for the food….such as ….delivery, service charges, wait staff expense and other charges.

Don’t be alarmed most service charges are 20% or higher.

While planning your event things can get a bit hectic, if you are hiring a coordinator he/she will work closely with the catering company to ensure things are running smoothly before and on the day of your occasion. Don’t worry about the last minute details, your focus should be on enjoying your day.

Lastly, think about the details and quality. Bluntly, would you like to have 150 guests for veggies, fruits, and cheese & crackers or 50 for a nice seated meal? You determine what you would like your menu to be and don’t be afraid to cut the guest list to afford what you truly want.

While planning your special event, think about your guests traveling near and far. For special events our dearest family members and friends will travel great distances to share your blissful occasion.

Since your guests will be traveling near and far you will want to secure hotel accommodations, transportation and entertainment activities for them depending on the length of their stay. For each hotel the number of rooms varies in order for your guests to receive a discounted rate. Most hotels will require you to block off the minimum of 10 rooms, however call to verify the number of rooms that qualify for a discounted rate.

It would be great to have all of your guests in one hotel, on the other hand if economic challenges present themselves you can also research another hotel and share the two options with your guests. If you are providing transportation to the ceremony and reception, stick to one hotel to make it easier for planning, logistics, and financing the transportation.

Welcome your guest with a light cocktail gathering at the hotel for your travelers and/or a nice small gift that represents the city, state, or country that your event is being held. Although you may have lots planned for you to do, many travelers like to see the unique places about where they are visiting….. arrange a tour or something fun for your guests.

Although some brides may see a planner/coordinator as an extra expense we can save you time and money. We have the “inside scoop” on how to save in many ways.

-This is no surprise; pick a day other than Saturday. There are good discounts for weddings on Friday or Sundays, couples are even getting married on Thursdays.

-Think about having a small wedding, the more guests you have the more you will have to pay for everything….meals, drinks, decorations, chair covers..etc.

-Know your priorities and estimate the cost for them very early in the planning stage. It is easy to see many great ideas while you’re in the planning stage; however it is critical that you don’t start shopping for several items without one vision.

-Analyze your catering options and prices before making a decision, determine the comparison cost of buffet, stations, or a seated dinner. How much will you be paying for the wait staff for each? Don’t under estimate the cost and the average of a 20% service charge from your catering company.

Hello all, I just want to start out by saying….it is not because I am an event coordinator that I am posting this blog.

I can’t count how many vendors that I have talked to recently that had a bad experience with family members functioning as their DJ, Caterer, Florists, Photographer and other vendors. We understand that the economy and other factors sometimes alter your wedding plans, however be cautious.

Whether you are hiring Cousin Joe to take your pictures or Aunt Sue to bake your cake, please make sure they plan to take your day seriously. One of the great points to working with a coordinator is that they are the glue to keep the puzzle together. Using a professional coordinator gives you the advantage to get a professional perspective of the entire day and the role of each vendor. Think about it ….your coordinator has worked with many brides, weddings, vendors, venue, etc…

Wine Theme Wedding

Looking for an alternative to having a guestbook? Here is a wine theme alternative for you.

If you are have a wine theme wedding, or if you just love wine this is a cute idea. Remove the label from the wine bottle by soaking the bottle in warm water for a few hours and rub off the residue from the label. Ingredients

Makes 2
· 3 tablespoons grenadine
· 3 tablespoons Cointreau
· 2 tablespoons brandy
· 1 3/4 cups champagne
· Raspberries, apples, or other seasonal fruit

Directions

Fill a small ice bucket halfway with ice. Pour grenadine, Cointreau, brandy, and champagne over ice. Stir gently, and ladle punch into 2 wide-mouthed stemmed glasses. Garnish punch with raspberries, apples, or any other fruit in season.

Calligraphy at its Finest

When you think about a calligrapher over a decade ago, one would think about someone to address your wedding envelopes and RSVP cards.

Welcome to the new world of calligraphy!

I would like to introduce Laura Condouris a calligrapher based in Baltimore, Maryland. Laura loves all of the things girls are supposed to love. She is an artist, calligrapher, designer, collector of vintage clothing, and occasional comedienne. Although Laura is based in the Baltimore area, she works with brides all over the world and offers to ship packages securely and insured.

Laura offers additional services other than your basic envelopes, escort and RSVP cards. Have you thought about incorporating calligraphy in a keepsake map, table numbers/titles or for your readers? Think about framing that special poem, letter or whatever you choose for your reader to read. How great would it be to frame a piece of your wedding day other than a picture in your home as a memento of your wedding day!

Here are a few tips when working with a calligrapher:

Remember to order additional envelopes for the increasing last minute invitations and/or mistakes that may occur.

If you are using Excel to maintain the guest list, it is easier for a calligrapher to address envelopes in the exact format that the envelope will be addressed. Because they must look at each guest’s name and address, it is easier to keep everything straight in a format, here is an example below.

Excel spreadsheets may also be exported to labels; this will avoid the addresses to be retyped. It is preferred that our clients provide the exported document in Microsoft Word or any other word processing format.

Think about the color of ink that you would like to use on your documents and how you would like to personalize them. What style do you prefer in alignment?

I spoke with Laura recently and would like to share an excerpt of our discussion below.

How long have you been practicing calligraphy?

I've been practicing calligraphy since I was a child, but I've been doing it professionally part-time for about five or six years and recently transitioned to doing calligraphy and illustration full-time!

How long before sending out the invitations would you require brides to contact you?

For envelope addressing services, I typically recommend booking at least three months in advance.

What is the turnaround time for invitations?

Orders of up to 200 envelopes usually take about two weeks to complete- the turnaround time is a bit higher for orders of more than 200 pieces.

How much of a notice do you need for place cards orders locally?

Since place cards don't take quite as long as invitation outer envelopes to complete, I can sometimes squeeze these into my schedule, but I still recommend booking as early as possible.

Do you offer writing/copying a poem or reading material for the ceremony?

Yes! I've worked on a few poems and recently finished a very pretty marriage certificate for the bride, groom, and all of their guests signed at the reception as a sign of solidarity with the couple.
What do couples do with the maps? How are the used?

Couples have used maps in their invitation, in out of town gift bags, as a keepsake and any other form they choose. A black-and-white map takes about 8 to 10 hours to complete, or a watercolor map, which takes even more time. The price includes the design fee, original, and a high-resolution digital file for you to print yourself at home, or take to your stationer or local printer. I offer small quantities for an additional fee.

Do you create monograms for couples?

Yes! I love doing this- it's like a logo for the union that a couple creates!

Selecting a DJ

Music has been a hot topic this week so I wanted to cover a few things on selecting a DJ. Many of the tips and topics may also be applied to selecting a band also.

There are many DJs in the market and they each vary in style, equipment, personality and other distinguishing factors. Here are a few things to cover when meeting a DJ:

Schedule a consultation with your prospective DJ and you can take note of the things that you are looking for. Most importantly when your meeting with a DJ is feeling out their personality, this will reflect in their style and persona during your event.

Ensure that your DJ offers a contract; not only the DJ but all your vendors should offer a contract. With a contract there is a safety measure and also this give you the comfort of know that the DJ is professional and takes your event seriously. While shopping around you can ask for a verbal overview of their contract.

Here are some questions to ask:

Do you book other events for the same day?
How early do you arrive and what will your attire be for my event?
Have you worked at my venue location before? If so are you familiar with their guidelines? Are there any tips that you can share with me overall.
How would you describe your style? How would you keep our guests on the dance floor?
May I and/or a guest request anything for you to play?
Will you make the announcements that I would like to share?
There are some songs that I do not want to hear, can I give that list to you?
When do I share the play and do not play list with you? When is my ‘last chance’ to update this list?
What is your deposit/payment policy?

Have fun at your consultation and feel free to ask as many questions you would like to. The goal is to walk away from feeling good about the services you are seeking and the service you will receive from the DJ.

DIY iPod vs. DJ

If this is something that you are thinking about, let me give you the answer. Select the DJ, and I will give you several reasons why in a few lines. But, first let’s focus on the iPod.

While I respect the fact that an event can be costly and many people are choosing to DIY as much as possible. An iPod can be cost saving and if you are using this for the ceremony and have timed everything down to the minute then I can say okay I understand. However when it comes down to your reception or party time, the iPod can’t lead or see what your crowd is reacting to.

Most people come to a party/reception to celebrate and enjoy themselves, no offense to your selection of music but what if the guests are not on the same musical page programmed? These are just food for thought items that should be consider while pondering the iPod idea.
Just a few more things to think about:

Who would make any announcements that you would like hear?

How will the crowd get excited about the music without an Emcee?

What if someone wanted to hear a specific song?

Would it be slightly awkward to the guests hearing a few second gaps in each song?

Please don’t think that you’re being discouraged from using an iPod we just want you to think about the entire event, guests, your budget and the logistics. Most of all your DJ gets the crowd going and keeps everyone excited. There are DJs out there that can work with your budget. If this is a challenge for you email us and we can help.

Tip: Create an overall budget and an estimated amount for each vendor in the beginning before you start your planning. During the process the budget can be altered if you are already in the planning process. Stop, take note of where you are and how much you have left in your budget, you can shift things around to accommodate your needs and secondary ….your wants.

To DIY, or not to DIY....that is the question?

If you’re thinking about DIY projects for your wedding or next event there are a few things to think about before you move forward. While I love working on personalize projects to showcase unique styles, there is plenty of prep time that is invested and sometimes it can be the same expense if not more that you would have paid for the purchase and/or services.

Here are a few things you should think about before diving into the many tasks of DIY projects.
1. Are you an organized person and can set & meet deadlines with a great finished product?
2. After reading and thinking the project through do you honestly think you can take on and complete the task?
*Do a test run of the project you are working on and get feedback from a few people you can count on to tell you the truth.
3. What is the estimated cost of the project?
*If you are working on centerpieces, think about the cost of the each product to create one centerpiece, add the total and multiply that number by the number of tables you will need to create for the event.
4. How much time will you need to invest in each project and will you be able to complete the project in a timely matter?
*Start as early as possible and recruit help of a positive honest friend that you can rely on.
5. Lastly, if you get stressed thinking about the project before you even begin…..pause and take a honest and good look again before you start.

Enjoy your DIY days; they should not be stressful days …..after all you’re personalizing and hopefully saving cash in the process.

Reception Activities- To Toss or Not to Toss?

Here are a few activities that are options for during your wedding reception.

Anniversary Dance- The anniversary dance honors the couple that has been married the longest. Get all the married couples on the dance floor. Once dancing the Emcee announces if you have been married 3yrs or more to stay on the dance floor, then the next announcement increases to 5yrs. This continues until the longest married couple stays on the dance floor. Ask the couple for their advice for a long marriage.

If you are not tossing a boutique and removing the garter belt, the newlyweds should walk over the garter and boutique to share with the couples following their advice.

Bouquet Toss- Invite all women to join in the bouquet toss whether single or not. By inviting everyone up, the single ladies will not feel as if they are being “pointed out”

Breakaway Bouquet- I have attended wedding and have seen the breakaway toss. There is one large bouquet in the bride’s hand and once she tosses the bouquet it becomes 4-5 mini bouquets. This just surprises the ladies, if you choose to also toss the garter the winning gentleman can dance with all the ladies that caught the bouquets. Oppose to going up her thigh with the garter.

Bouquet Presentation- Instead of throwing the bouquet some brides present their flowers to their mother, grandmother, aunt, or best friend. This can be very sweet and touching to both the bride and recipient, if the bride shares her thoughts during the reception of who she is presenting her bouquet that is also a special acknowledgement to share with all.

Spa- Save some time and stress..... get your manicure, pedicure, eyebrows, and any additional waxing/ threading that you desire. If your budget allows, a nice massage is always great to relax a day of two before the wedding with your friends or future spouse.

Tuxedos- Schedule a fitting early to secure the tuxedos for the entire wedding party and including the escorts and ushers. Black is no longer the only color in high demand for special occasions.

Limo and transportation- if you are having your wedding earlier in the day this will help with the expenses. Some companies charge a ‘prom rate’ after 6pm.

DIY disaster to share
Here is my DIY disaster from the wedding I photographed this weekend. To everyone who reads this, please feel free to share any and or all of it on your blog about DIY. I had a lovely, very artistic (because she is an artist) and creative DIY bride this weekend. She basically made all the decorations for the wedding with the exception of the table cloths & china. Her ceremony was to start at 4:30pm. We were to start with photos at 2:30 so that there would be little to no photos after the ceremony so that the cocktail hour and reception could be enjoyed. While the B&G had many friends and family helping, the bride was still making her centerpieces and bouquets when it was time to start shooting the formals & "First Look" photos at 2:30pm. All the helpers were helping, but weren't her, so needed a lot of direction and were asking a lot of questions of the Bride. Of course, her vision for the centerpieces wasn't quite working and now she was having to improvise and recreate the centerpieces. The site coordinator was nowhere to be found, and the hanging of lights and decorations by the site staff had not been done. The bride was running around directing the staff on where to hang everything. There were hundreds (probably closer to a thousand) fresh cut flowers everywhere waiting to be used, as well as candles, vases, favors, etc. Panic was setting in, and it was 3:00pm. The favors, candles, centerpieces, etc. were not in place. At 4:20, the bride still had not started to get dressed because she was still making centerpieces. Needless to say, the ceremony didn't start until after 5:00pm. Due to the length of the ceremony, we had very little natural light left for the family formals. One of the bridesmaids acted like she was the director and tried to direct posing for the photos. ugh. And after the formals with family were taken, the B&G were not interested in any more photos because they wanted to party after all their hard work. A videographer wasn't hired. The B&G had a friend use a video camera. Well, the friend got intoxicated and thought it was a great game to stand in front of the photographer when I went to take photos. The DJ tried to help out by distracting the guy, but it didn't work. I let the friend know that the B&G were paying for photos of their special moments & to please not continue to move in front of me. He thought it was a game & decided to play shove the photographer. more....

Then he proceeded to circle the couple like a hawk....staying less than a foot away during the circling process making it impossible to catch many photos of the B&G without a video camera or the enthusiastic intoxicated cameraman in the photos. It was a challenge. The DJ repeatedly tried to intervene. The groom thought it was funny. The DJ was constantly trying to corral the couple for the cake cutting, bouquet toss, etc. and they kept straying apart. I've never seen anything like it. A wedding planner would have made all the difference in the world. Thank goodness the couple had a "Rock the Dress" session scheduled for 2 days after the ceremony. When I arrived, before I could say a word, they profusely apologized for their friends misbehavior, and for totally being late for the entire day. The bride admitted that she should have hired a wedding planner. Did I mention that this was a destination wedding? Even for an artist, she had no idea how long DIY was going to take.

Transportation- Limo & Town Cars

Have you thought about your transportation?

Whether or not you choose to have a limo or a town car to drive you around here are some tips:

Limo: Plan ahead, especially if you are getting married during prom season! Limos book up pretty fast, so don’t assume that you’re safe. Sit in the limo of your choice to get a feel of what it will be like you’re your wedding day.

Since you are renting a limo for at least four hours maximize your dollars you will be spending. Have the limo pick up your groom first and drop him off at the church or ceremony location. Following it will be time to pick up the ladies. This way you’re not paying for two limos or paying for the driver to sit around and wait for too long.

Plan ahead if you are planning to have the entire wedding party ride to the reception venue with the newlyweds, will provide a separate limo for them, or will have them use their personal vehicle. Whichever you choose please remember to share this with your wedding party beforehand so there are no surprises to them.

Town Car: If you like the idea of a limo but choose to have having something smaller think about a town car, you can maximize the cost using the same idea as above on a smaller scale. If you have an elderly family member that does not drive or you would like to receive additional assistance this is also a way to go.

The Garter Toss Tradition

Who started the garter toss anyway?

Many couples today opt not to have the garter toss for several reasons, mainly because the bride does not want the groom to go up her dress in front of family and friends. This is a tradition that has been around for centuries and originated in Europe.

Before the garter tradition, the guests would chase the bride and rip her dress….it was believed to be good luck to get a piece of the bride’s dress. Instead of allowing guests to rip their dress, brides began to toss a piece of their clothing (the garter) to the guests as time went by this became the tradition for the men. Although the meaning of the toss has changed from good luck to ‘you’re next to get married’ this tradition is still practiced. As many have witnessed, some single men choose not to participate for various reasons….. some consider it unlucky.

The garter toss is optional and should be discussed by the couple beforehand. Make your decisions together and keep in mind whether you are having a formal or informal reception. Will the groom retrieve the garter with his hands or mouth, sit down and talk about this together…this way there are no surprises during the reception.

Choosing A Photographer Part II

Now that you have had the opportunity to view galleries from several photographers online or in person at a bridal show or from friends and family, it’s time to narrow down your top 1-3 photographers.

Here are a few things to think about:

1. Photographic Style- The pictures tell a story, are there photos that capture your attention and keep mesmerized?

2. Level of experience- Is your photographer a professional in the industry?
a. Does the photographer have experience at your venue(s)?

3. Personality- Do you “mesh” well? This is a person that may be capturing emotional moments and you want someone that will be calm and easy to work with.
a. Will the photographer be good at communicating from the consultation to the end of your wedding night?
b. Are you comforatble with the photographer?

4. Price Range- Everyone has a budget and this is respected within the industry, your photographer should be willing to work with your price range. While some photographers may be “expensive” this is one area where you don’t want to hire an amateur.
a. Is there flexibility to adjust some details in the package?
b. Are there services offered A la Carte?

5. Finish Product- How long will it take to view proofs and received the finished album?

6. Payments- What are the deposit requirements and payment periods?

7. Hours- How many hours of services will be provided and number of locations?
a. How early will they arrive to test the lighting and set up?
b. Will your photographer travel to the hotel/home while the bridal party is getting dressed?
c. To the ceremony?
d. To a specific destination to take pictures of the wedding party?
e. To the reception?

8. Appearance- Will they be professionally dressed for your casual, semi-formal or formal occasion?
a. Will there be an assistant photographer during the event?

Tip: It is customary to include your photographers in the guest count for meals during the reception.

Tip: Create a collage of some of your favorite photos and share with your photographer during the consultation. Your planner or family liaison for the day of your occasion can also “remind” the planner if necessary.

All the details that you discuss and agree on should be included in your agreement/contract.

* Schedule a consultation with the florist to secure their services for your event.

* If you are selecting flowers for a special occasion, bring in swatches of your attire and/or linen selection.
* Have a budget in mind, also be flexible with you budget as a secondary resort. Start out a little less than your maximum budget.
* You can save money by the type of flowers you select. Do a little research and find out what flowers are in season.
* If you are having a ceremony, find out if your church/venue allows fresh rose petals (this may stain the carpet).

Bridal Shows- Brides Making the Best of Them

The clock is ticking and it’s now time to put the planning in high gear. With the countless decisions that need to be made and vendors to meet with, going to a bridal show will give you many ideas and the opportunity to meet professionals in the wedding industry.

Bridal shows offer a one stop pre-screen shopping experience…..it’s the Wal-Mart of weddings as I sometimes refer to shows. Take advantage of these shows and here are some tips.

1) Register online before the show, you may usually save an average of $5.00 by doing so.
2) Print address labels including your wedding date, this will be helpful for all the drawings you will be encouraged to enter. This will lessen times you need to write your information!
3) If you don’t already have a separate email address specifically for your wedding, you may do so now. To be honest your email address will be shared once you register for the show.
4) Bring a friend if your fiancé does not want to attend and wear comfortable shoes, you will walk around at least twice.
5) Bring a small notebook to take notes of vendor advice, make as many notes on their cards/handouts first.
6) Ask as many questions that you can about the vendor and their services to learn more tips and to gauge how they will interact with you as a client. Feel free to prepare your questions ahead of time. Split up your questions between vendors.
7) If you are looking for a makeup artist, wear little or no makeup and volunteer to be a model. This helps the vendor with a demo and you for a free mini consultation.
8) Your friend should help keep you on track to narrow down your prospective vendors. Here is what you do:
* Collect as much literature as possible, for the vendors that you really like you keep the information. The others give to your friend to place in her bag. This helps you filter the information while at the show, still go through the information…you never know what you will find.
* Rate the vendors you see, whether you use an A,B,C method or 1-5 rating this will also help when reviewing information. If you don’t mind have your friend rate the vendor and compare ratings later.
* Take note of the vendors with the Bridal Show deals, there are usually great saving using a special promotional code.

Don’t feel pressured about making any decisions on the spot, follow up and schedule consultations.

Budget: The Bar

If you’re planning an event and are concerned about the cost & the consumption of alcohol here are a things to consider.

Offer cocktails for a limited time during the first part of your event
* This will allow your guests to enjoy a few drinks while mingling with others and you won’t pay for the open bar/ cash bar fees for the night.
* Limiting the consumption will decrease the number of alcoholic beverages and increase sober guests leaving your event.

Limit the options; choose one or two signature drinks to serve
* Having a signature drink will lower the variety of mixed drinks and alcohol required to have at a bar. The less options of alcohol will also lower your expenses.
* With the limited options of drinks there are less chances of over consumptions.

You also have the option of serving wine and beer with other non alcoholic beverages
* Paying for beer and wine is less expensive than top shelve liquor
* Guests can still enjoy themselves without mixed drinks and enjoy a glass of wine during dinner before they dance and party.

To be honest, no matter what you choose you cannot please everybody. Just be concerned about your budget and stick to it. Plan ahead and accordingly the last thing you want to do at your affair is frequently check with the bartenders as to where you are sitting in terms of an alcohol bill.

Are you planning an event in the near future? Here are some things to consider while planning your next event.

1) Guest List - Who should you invite? How many people would you like to share this special occasion with? Will the occasion be small and intimate or a big party?
2) Venue - Where would you like to have your event? Keep in mind a few different places and dates, just in case you find a venue you love and the date is not available. Get price quotes from each and take pictures, there are several questions to ask please see Selecting a venue for any event.
3) Menu - What food should you serve? The menu selection will also play a role in the guest list. Depending on your menu selection, catering quotes for a seated dinner, buffet and open bar this may increase or decrease your guest list. Try to make sure to include several different food options because you may have guests with food allergies or special diets.
4) Invitations - Mailed invitations are always a great idea, especially if your event will be formal dress. The invitations should match the decorations for the party.
5) Colors/themes – Do you have an event style in mind? This can be a color design or a theme that you would like to carry throughout the event.
6) Music – Think about the music that you would like to hear at specific points throughout the event. For example: Wedding- What will be your music during dinner? Anniversary Party- Perhaps choose songs from the decade you were married. Sweet Sixteen- Favorite song and special dance with best friends.
7) Toasts - Do you toast each other? Who toasts to you? Will there be a variety of toasts in an order of preference?
8) The Cake - Do you have an idea of the type of cake or desserts you would like? This is the fun part! Start tasting and choose a bakery.
9) Party favors - Something for your guests to remember not only your event, but you!
10) Event attire- Simply said your attire should say: I’m so beautiful this is my day! It’s your party after all!

Some clients during consultations wonder….how much money will I be spending for what I want?

Your wedding budget is completely essential for planning your marriage. It should be prepared well in advance, start saving as soon as you say YES!
Prices can easily spiral out of control so have a budget and stick to it. Give preference to the important things first .Make a priority list.

Let’s talk about budgeting do’s and don’ts for weddings ….. This information will be helpful to you with your planning efforts.

Timing & Site

Please DO
1. Consider dates that fall out of busy wedding seasons (May-October)
2. Think about having your wedding on a Friday, Sunday or a day other than Saturday.
3. Consider have a daytime reception or a brunch.
4. Seek a venue that has the tables, chairs, and possibly the linens you would like. This will help save on the rental cost of these items.
5. Consider a venue that does not require you to use their preferred vendors. In many cases this is more expensive because you will be choosing from one list. Are outside companies allowed?
6. Inquire about the service fees and any other fees associated with the service being provided.
7. Inquire if candles prohibited?
8. Think about additional expenses; is there a charge for the cake cutting, early/late set up, and any surprise guests?
9. Consider a professional planner to manage your day and let your family relax and enjoy the day.

Please DON'T
1. Don’t get married during peak times for the hotel business if most of your guests will be traveling out of town.
2. Please don’t forget to take in consideration the distance from the ceremony to the reception.
3. Don’t overlook having your ceremony and reception in one venue convenient for all.
4. Don’t forget to set your budget and establish who will be paying for what, in the event that others are also assisting with the finances.
5. Start shopping for your décor until you find and secure your venues.
6. Include a variety of friends and family members in your planning and day of wedding; too many opinions can become stressful.
7. Don’t think you can’t afford a professional planner; many planners will work with your budget. You should at least have a DOC (Day of Coordinator) to lead your team of vendors.

Here are some tips for keeping your budget under control:

* Limit the number of guests to friends, family and close acquaintances only.
* Don’t just invite a person for the sake of inviting or just because he/she is a colleague. * Book your venues at least 8 to 12 months prior the wedding so that you can pay it over a period of time.

Selecting a venue for any event

When selecting a venue for your event regardless of the occasion there are many things to take into consideration. Think beyond the space that you see, if you are not taking a tour of the venue with a planner/décor designer envision the layout and logistics. Don’t be misled with the facility sales manager or their event coordinator as they say “the food usually goes here…..we set the tables up like this….etc...” you can deviate. Feel free to be creative and make changes you would like within their guidelines. Take note of the outlets around the venue, particularly where you would like the band or your entertainment to be set up.

Many venues will allow you to take pictures of their location, this can be beneficial when creating a floor plan and sharing the details with your florist and other vendors if they are not familiar with the venue you have selected.

There are several things to take into consideration before signing a venue contract; whether you are on a $3,000 budget for an anniversary party of $30,000 wedding budget. Here are a few questions to ask:

1) Will the occupancy limit accommodate your guests and your vision of the layout?
2) Is the venue flexible with your date and time? Will they allow enough time for set up and breakdown without additional charges.
3) Is the venue a central location that will accommodate your guests? If they are traveling from a ceremony location to a reception will it be easy for your guests to locate?
4) Are off site caters allowed? This can save you money, if on a tight budget or if you have an assorted cultural cuisine planned.
5) Is alcohol permitted without the hefty expense of the bar tab.
6) Are linens included in the rental agreement?
7) Is there ample parking for your guests?
8) Don’t forget to check out the restrooms. Will they be maintained and refreshed during your event by the staff?

Keep these things in mind when you visit each venue and compare your notes on a chart before you make your selection.
